Quick Start: First Sales Order & Shipment

Build your first sales order and then pick, pack, and ship it, then update the status once it's been shipped and paid for.

With your first item and inventory added to Digit, you're now ready to create and fulfill your first Sales Order.

  • 0:00 Now that we've got our initial inventory in to digit, we want to sell our first items. So now we're going to click over into sales orders and from here we're going to create our first order.

  • 0:17 Now we need to select a customer and we haven't entered anyone yet but I've already got their information so let's go ahead and create their company.

  • 0:24 So, this is going to be going to Mom & Pops Shop because they've decided to put in an order for some of our tennis balls.

  • 0:36 The tight is going to be customer, the status is active, and we're going to enter in their address, and they're actually just down the street from us on Main Street in any town USA.

  • 0:56 And you can indicate whether or not the shipping is the same or not. And notes as well. Let's go ahead and add their account.

  • 1:06 So now there will be selectable here. And if we had a contact, we can add them, but we haven't. So it's okay right now.

  • 1:16 We're actually is going to deliver this down the street. So we're going to keep the shipping and billing the same.

  • 1:22 Now we're going to browse for our item here, our tennis ball. We're going to add that and they have said that they want an initial order of 50 tennis balls.

  • 1:33 So we're going to do that and we're going to go ahead and sell them for a dollar each. And for shipping date, they want it ASAP.

  • 1:44 So we're going to enter that here. We're not going to charge anything for tax or shipping, things like that. We won't worry about right now.

  • 1:52 So we're just going to go ahead and create our order. So click Create Order. Now we've got our very first sales order in the system.

  • 2:02 And from the table you can scroll across and see some additional information such as payment status, fulfillment status, as address that they need to be delivered to.

  • 2:13 Another view that is related to the sales order view, since this just shows us that we have a sales order, is we can click into order items and see specifically all of the line items from our sales order.

  • 2:25 So here we can see more specifically what was ordered. This is especially useful when you have multiple line items per sales order.

  • 2:35 So you can see that here. Now since we already have this in stock, you can see our item available is fully available item availability.

  • 2:44 So now we can go ahead and create our shipment to get this out the door quickly. So we're going to come over to the shipping tab and we can click on sales order number one and now we're going to see a different view for shipping and since I'm just starting out I haven't really got my barcode scanner

  • 3:05 so So I'm going to go ahead and just manually pick the tennis balls I didn't need. So I'm going to click into this list here, which shows me all of my available inventory.

  • 3:14 And you can see in this bar up here that I need 50. So I'm going to type in here the amount that I want to pick and click the pick button and then that will fill up my progress bar there.

  • 3:25 Now that I've picked the items, I can go into the packing screen. And here I'm going to put these into a box that'll all fit really well, so once the box is created I can pack it, put all 50 of those balls inside there and now I can move onto the shipment stage.

  • 3:46 So now we can see I've got my one box with one item in it and I'm going to go ahead and click on ship.

  • 3:52 This pop up here is where I can confirm the carrier. I'm actually going to do a live drop off or they're going to come around and pick it up themselves since we're so nearby.

  • 4:04 So I'm going to just select that, you can select your shipping terms here. If we had a tracking number we could do that and I'll make sure I mark this as a pickup.

  • 4:14 So they're going to pick it up, the pickup date they're going to get it tomorrow and they're I'm going to pick it up from my headquarters and I can still just for completeness.

  • 4:26 Select that I want to print some shipping documents, add some notes. If I want, and then I can schedule this one package for pickup.

  • 4:44 This is also going to print out some documents for me at the same time. I'm going to get the Bill of Lady and the packing slip so I will save those for reference later.

  • 4:58 Now that I'm on this screen here we can see that we've got our shipment number one with one package awaiting pickup and we can click into it and once they have come to pick it up we can mark it as shipped and update the shipment and now it's no longer in our not shipped section.

  • 5:21 It's going to be in our fulfilled section of the shipping screen. Now what about payment? So obviously we have a good relationship with them so I'm going to go back over to the sales order side and I know that when came and picked it up.

  • 5:36 They actually paid fully paid when they came to pick things up. So now I can go into edit and I can scroll down to the payment section and I can mark this as paid in full.

  • 5:51 The accounts will be very happy about that and we can update the order. So now we have just successfully created our first sales order fully packed it and shipped it was picked up and we've marked it as paid in the system.

  • 6:07 Now, if we click back over into our inventory, we'll see that instead of the 100 balls that we started with in stock, we're now down to 50 and we'll take care of ordering more balls in the next step.

Create Order & First Customer

  1. Click into the Sales orders table

  2. Click on Create order

  3. Click into the Customer selector

  4. Click on Create customer

    1. Enter customer name

    2. Enter customer address

    3. Click on Add account

  5. Select the customer you just created

  6. Click on highlight

Add Line Items & Finish Sales Order

  1. Click "Browse"

  2. Select the checkmark for the item to add

  3. Click "Add Items"

  4. Enter quantity and unit price

  5. Add a "Ship by" date (Optional)

  6. Click "Create Order"

  7. Confirm "Create Order" (vs Save as draft)

View Sales Orders

  • You can view your new Sales Order (SO) on the Sales orders table

  • You can also see all line items on the Order Items table.

Create A Shipment & Fulfill the Sales Order

  1. Click into the Shipping table

  2. Click on the Order #

  3. Click on the Line Item

  4. Enter the quantity you want to pick

  5. Click "Pick"

  6. Exit the Line Item view

  7. Click into the "Pack" tab

  8. Click "Box" to create a shipping container

  9. Click "Pack" on the picked inventory

  10. Click the "Ship" tab, or "Ship this order" button

  11. Click "Ship" on the container row, or "Ship all packages" button

  12. Select the "Pick Up" shipment type and enter pick up date and location

  13. Select which Shipping documents you want to print

  14. Add internal notes if desired

  15. Click "Schedule 1 package for pickup"

Update Shipment Status & Payment Status

Your customer has just arrived at your warehouse, has paid in person, and picked up their order. Let's make sure the statuses in Digit get updated to reflect the completion of the Sales Order.

  1. Click the shipment row

  2. Change the status to "Shipped"

  3. Click "Update shipment" to save the change

  4. Return to the Shipping table

  5. Click into the "Fulfilled" tab to verify SO has been updated as well

Update Sales Order Payment Status

  1. Return to the Sales order table

  2. Click into the Sales Order

  3. Click on "Edit"

  4. Update payment status from the dropdown

  5. Click "Update order"

Now that you've made and fulfilled your first sales order (and brought in some revenue) it's time to restock your inventory with a Purchase Order.
