Managing User Accounts: Invite, Suspend, and Assign Roles

Managing who has access to your data is a critical part of keeping your operations reliable and secure. This guide will walk you through inviting your team to Digit, assigning the right permissions, and managing their status as your business grows.

Invite a New User

Whether you want your team to sign in with their own email or you prefer to provide them with manual credentials, getting them into the system is simple.

  1. Navigate to the Users table: From the left-hand navigation menu,
    Go to People


    Then select Users.

  2. Start the invitation: Click the Add user button in the top right corner.

  3. Choose invitation method:

    • Email: Enter their email address to send an automated invite link.

    • Manual: Create a unique username and password to share with them directly.

  4. Enter details: Complete the required fields marked with an asterisk and assign one of the three roles

  5. Finalize: Click Add user and send invite. This sends an email invitation for the employee to join your organization.

  6. Monitor status: Once the user accepts their invitation, their status will automatically update from Pending to Active.

If an invitation expires or needs to be canceled, open the three-dot menu on the Pending tab to resend or cancel the invitation.

Suspend or Reactivate a User

As your team changes, you may need to temporarily or permanently remove access. Suspending a user keeps their historical data intact while preventing them from logging in.

  1. Find the User: In the Users table, locate the active user you wish to modify.

  2. Open the Menu: Click the three-dot menu (meatball menu) at the end of their row.

  3. Suspend Access: Select Suspend user.

    1. A confirmation modal will appear; click Confirm to finalize the change.

    2. You'll receive a success message

  4. Reactivation: If you need to restore access:

    1. Reopen the three-dot menu for a suspended user and select Reactivate user

    2. Confirm reactivation

    3. You'll receive a success message:

Digit makes it easy to control user access as your team grows. By inviting users, assigning appropriate roles, and suspending access when needed, you keep your data secure without slowing down daily work. Regularly reviewing user access helps ensure everyone has exactly the permissions they need.
